UDILIK is a cloud software service which facilitates timely and quality feedback from end-users to distributors and manufacturers concerning performance of medical devices.We are committed to protecting the privacy of all individuals that provide Personal Information to us, including the data recorded by customers in UDILINK that relates to their clients or patients. This Privacy Policy explains how we collect, protect, use and share personal information. We may review and change this policy from time to time. When we do, we'll update this version located at https://www.UDILINK.io/privacy-policy.html and notify our customers within UDILINK, and in other suitable places.


Firstly, a few definitions:

  • • 'FIC Technology' or ‘FIC Technology Pty Ltd (ACN 154 315 045)’, is the company operating UDILINK.
  • • ‘UDILINK’ is the UDILINK smartphone software application and web services related to it.
  • • ‘Agreement’ refers to the UDILINK Terms of Service found at https://www.UDILINK.io/terms-and-conditions.html
  • • ‘Customer’ is a user of UDILINK who has agreed to our Terms of Service, which may typically include hospital, distributor and manufacturer staff.
  • • ‘Personal Information’ means information that can identify an individual.
  • • ‘Services’ means information that can identify an individual.
  • • ‘Report’ means information that can identify an individual.means the complaint or feedback report submitted by the user and any subsequent related communication.
  • • ‘Distributor’ means the distributor or manufacturer of the medical product(s) involved in the Report, who is contracted to UDILINK to protect Private Information, or whom UDILINK reasonably expects to do so based on ISO13485 certification and published company privacy policy.

Personal Information we collect

We collect personal data only for the purpose of providing our services to our Customers. We collect such personal information in a couple of different ways—directly and indirectly.


Personal Information we collect directly from you

We directly collect Personal Information if you send register and send a complaint or feedback to us from our UDILINK Smartphone App, our website or get in touch with us by chat, email, or phone. We may also collect some Personal Information if you engage with us through social media. This information can include your name, gender, occupation, employment position, place of employment, telephone numbers and email addresses. We do not directly collect GDPR Special Category Data such as race, religion and political opinions.


Personal Information we collect indirectly

We instruct users in the UDILINK software forms to NOT report or include images in their UDILINK Report and communications containing patient’s Personal Information; patient-specific events such as injury are reportable to regulatory authorities.
Not with standing our instructions, we may receive and indirectly collect Indirect Personal Information when someone does use UDILINK to record data about someone else, such as when a healthcare professional sends information about a patient involved in a medical device
This information can include names, genders, dates of birth, countries of birth, residential addresses, telephone numbers, email addresses, health insurance numbers, and sensitive patient health records.


Other Information we collect

  • • Photograph geolocation data, of photographic and scanned barcode evidence submitted with report, to help locate the medical device for processing of Report.
  • • Browser and hardware data, such as IP address, type of device, operating system, browser type, screen resolution, language, device make and model, as well as the versions of the above mentioned services.
  • • Cookie and tracking technology data, which would include pages visited, time spent on pages, language preferences, and other anonymous traffic data.
  • • Transaction data including details about your UDILINK subscription, payment dates, and renewal dates.

How this information is used

Personal Information we collect is used by us to operate UDILINK, including ensuring authenticity and integrity of reported data and resolving the reported issue. It is used for Identification and authentication of users, for billing purposes, and for communicating with users concerning complaint / feedback specific information, the frequency of which can adjusted by the user in the Application.


We necessarily transmit the received Report containing your Personal Information along with the medical device performance information and potentially patients’ Indirect Personal Information to the Distributor of the medical Device for the purpose of resolving or acting on the reported issues. This may include the Distributor contacting you directly, according to your selected preferred method and frequency.


The information in the Report, which may contain Private Information, may also be used for the manufacture’s regulation-mandated post market feedback collection and analysis.


We may also, with consent, use email addresses to share or solicit information to improve our service.


We may also use received data for trend analysis, market information and analytics to improve and optimize our service and health delivery, to control unauthorised use or abuse of UDILINK and other purposes provided we comply with applicable law and our contractual commitments.


How Personal Information is disclosed

You may elect in the UDILINK application to share the Report information with related parties, which UDILINK will forward to registered users or to your colleagues at your work-related email addresses or to un-contracted Distributors.


UDILINK also emails the Report information back to you at your UDILINK registered work-related email address for your verification and your and your employer’s records. UDILINK does not accept public email domains like Gmail, Outlook, and Yahoo and tracks the destination of emails to registered users to ensure validity of recipient(s). If you elect to share that email with others, you accept the responsibility for all Private Information contained in the email and the Report therein.


UDILINK forwards medical device Reports, including your Personal Information only to the related Distributors and/or Manufacturers. Except as described in this Privacy Policy, UDILINK will not share, sell, or rent Personal Information with anyone without your permission or unless ordered by a court of law.


We work with reputable third-party services in Australia and the USA and Europe (such as our cloud service providers, web host, data backup and payment provider) that we allow access to the necessary Personal Information for the purposes for which they are engaged.


In rare circumstances, we may be obliged to disclose Personal Information if disclosure is required to comply with the law, if we believe our Terms of Service, located at https://udilink.io/terms-and-conditions.html, have been violated, if we believe it is necessary to protect our rights, or if the ownership and assets of UDILINK were to be transferred to another party.


The security of your Personal Information

We take security seriously. Data stored in state-of-the-art facilities, access is restricted to those who have a need to know, and we regularly review our technology to maintain security.


In the event that there is a breach and your Personal Information that we have collected directly is at risk, you will be notified and informed of what information is at risk, steps that we have taken to ensure your safety, and what action we are taking or have taken to rectify the breach.


Access, correct or delete Personal Information about you

You can request access to the Personal Information you have provided to us, via email to privacy@UDILINK.com. This enables you to receive a copy of the data and to check that we are lawfully processing it.


You can review the Personal Information you have provided to us on your Application or our website. If you think there’s a problem with the Personal Information we hold about you, you will either have the tools available to make these changes, or you can request a correction via email to privacy@UDILINK.com. You may request erasure, which may restrict your access to our services. You may withdraw consent to our use of your Personal Information at any time however, this will not affect the lawfulness of any processing carried out before you withdraw your consent.


Local access and privacy laws

UDILINK is a worldwide service. We'll take all reasonable steps to comply with local access and privacy laws, to the extent consistent with legal obligations we have under Australian law, where we are based.
